Our clear and concise SLA’s detail the roles, responsibilities, and tasks to be performed so everyone has a clear understanding of their Roles and Responsibilities. Together the Broker and fulfillment officer can provide home buyers with a stellar mortgage experience.

FULFILLMENT OFFICER DUTIES

GENERAL

The Broker will be assigned a dedicated Fulfillment Officer to help maintain deal continuity. Treat your Fulfillment Officer as you would your Personal Assistant or any other Team Member. This mindset will help ensure a smooth workflow environment and a pain-free customer experience. Working together the Broker and Fulfillment Officer can provide the borrower, with a great customer journey. 

Your Fulfillment Officer’s Role is to act as your personal assistant in workflow management, data and document collection, Lender Package production, and touchpoint communications. It is imperative that the Broker communicates effectively to help facilitate change management and to keep the deal flowing smoothly. Below is the division of duties within the deal process. 

ONBOARDING

The Broker will undergo an onboarding session with an Onboarding Officer to review and experience the default workflow process.

Broker can request changes to the process after the free trial.

The following is required to complete the onboarding process:

  1. A copy of Brokers Corporate logo for their business center branding and Touchpoint Communications 
  2. A sample of Broker email signature for Touchpoint Communications branding purposes.
  3. Login and Password to the Broker origination software and update of password changes as required.
  4. Senders Email SMTP settings
  5. Senders Email Login and Password
  6. Customized consent document where applicable.
    SUBMITTING A DEAL

    The Fulfillment Requests are processed on a first come first serve basis. The Fulfillment Request is the top priority and is normally activated within two business hours.

    There are three types of fulfillment requests:

    1. Pre-Approval
    2. Purchase Fulfillment
    3. Refinance Fulfillment

    Note: When the Broker submits a Fulfillment Request, the Broker Information Section and the Applicant Information Section are both required to be completed to activate the file. Please note that the more detail provided in the related note fields will help expedite the activation of the file.

    TERMS OF SERVICE

    By submitting this application form, I hereby agree to the Terms of Service as defined in the Service Level Agreement.

    PRE-APPROVAL FULFILLMENT

    Fulfillment Officer will:

    1. Send the Borrower a link to the secured online application form on behalf of the Broker.
    2. Send the Borrower the Privacy & Consent documents via Docu-sign or Adobe Sign. 
    3. Send a secured link to the Borrower to upload their required documents.
    4. Follow-up for receipt of pre-approval documentation required.
    5. Push the Borrower Pre-approval application information into the Broker Origination System.
    6. Update and track all details on the Rate Hold and Pre-Approval commitment. These include rate hold expiry date, mortgage amount, terms, and conditions.

    Broker will:

    1. Review the Borrower application form for completeness and accuracy.
    2. Submit the Borrower application to Lender through the Broker Origination System.
    3. Receive the rate hold, pre-approval commitment or letter of declination from the Lender.
    4. Provide the fulfillment officer with all updates or changes to the status of the file.
    PRE-APPROVAL DATA & DOCUMENT COLLECTION

    Fulfillment Officer will request and obtain the following documents from the Borrower on behalf of the Broker.

    HOURLY EMPLOYEE:

    1. Consent & Disclosure Document

    SALARIED EMPLOYEE:

    1. Consent & Disclosure Document

    SELF-EMPLOYED:

    PRE-APPROVAL- TOUCHPOINT COMMUNICATION

    Fulfillment Officer will setup and launch the Touchpoint Communication System with the following Pre-Approval messages.

    Messages are sent by the Fulfillment Officer and branded for the Broker. Messages are Bcc’d to Broker and the Broker Owner

    EMAIL MESSAGES:

    1. New File Activation – File activation notification sent detailing client information, assigned Fulfillment Officer, and document requirements. (Sent to Broker; from Fulfillment Officer)
    2. Initial Communication – Sends Secure Application Link to the Borrower. Introduces Fulfillment Officer to the Borrower for fulfillment purposes. (Sent to Borrower; from Broker)
    3. Welcome and Document Request – Includes secure document upload link and instructions. (Sent to Borrower; from Broker)
    4. Preapproval Approved – Includes rate hold expiry date, mortgage amount, terms, and conditions. (Sent to Borrower; CC to Realtor)
    5. Outstanding Documents – Request for additional documents required for Purchase Fulfillment i.e., contract, lawyer. (Sent to Borrower; CC to Realtor)
    6. Pre-approval Follow-up – Sent 30 days before the rate hold expiry date. (Sent to Borrower; CC to Realtor)

    PURCHASE FULFILLMENT

    1. Fulfillment Officer will send secured online application form link for borrower to complete.

    2. Fulfillment Officer will send and receive Privacy & Consent documents via Adobe Sign. 

    3. Fulfillment Officer will send secured document request to borrower and follow-up for receipt of documents required for submission to lender for approval.

    4. Initially, Fulfillment Officer will provide sorted, labelled, and packaged document lists directly to Agent for review. Packages include cover sheet and will be sorted as follows:

    a. Documents Accepted
    b. Document Rejected or Not Required
    c. Documents Outstanding

    5. When documents required are obtained in full, Fulfillment Officer will provide sorted, labelled, and packaged FINAL document lists directly to Agent via email for review and submission to Lender. Packages include cover sheet and will be sorted as follows unless otherwise instructed by Agent: 

    a) Privacy and Identification.
    b) Income applicant #1.
    c) Contracts and all information pertaining to property being purchased.
    d) All information pertaining to existing property owned.

    6. Fulfillment Officer will push Syncro Mortgage application information for borrower into current Origination System. Agent to provide Origination System Login credentials to Syncro Mortgage as part of onboarding process. Agent will communicate to Fulfillment officer Password Changes. 

    7. Agent will provide existing origination File # to Fulfillment Officer for any existing borrowers, and subsequently Fulfillment Officer will Refresh information FROM existing origination System TO Syncro Mortgage Platform and update as required. 

    8. Agent will communicate with Fulfillment Officer and will supply copy of both conditional and final approvals when received, to accurately update information on the Syncro Mortgage Platform, and send applicable communication emails to borrower.

    9. Fulfillment Officer will request and receive all signatures required from borrowers via Adobe Sign on commitment documents, PAC forms and other documents that may be required by the Lender. Fulfillment Officer will not verbally communicate to borrower any details on terms/conditions of approval. When signed documents provided to Fulfillment Officer, package will be prepared and forwarded to Agent via email.

    10. Fulfillment Officer will update details pertaining to approvals received with information saved for 7 years. (Lender, Amount, Rate, Term, Maturity date) All documents (Commitment, PAC, Checklist) will be uploaded and saved to Syncro Mortgage platform. 

    11. Fulfillment Officer will send follow-up email requesting documents outstanding to borrower with Secured Document Upload Link and instructions. Fulfillment Officer will follow-up directly with borrower as required to obtain all documents requested to finalize deal.

    12. Fulfillment Officer will Label, Sort, and Prepare final document list and forward to Agent via email, upon receipt of Commitment/Approval from Agent. 

    13. Fulfillment Officer will prepare Audit document package and save for 7 years. 

    14. All information backed up securely on Canadian servers.

    15. Broker will review and vet all application and documentation provided by this service prior to submitting via Origination platform for final approval and review by the Lender.

    PURCHASE - DATA & DOCUMENT COLLECTION

    Fulfillment Officer will request and obtain the following documents on behalf of the Broker.

    Broker will advise if other information is required.

    EMAIL MESSAGES:

    1. New File Activation – File activation notification sent detailing client information, assigned Fulfillment Officer, and document requirements. (Sent to Broker; from Fulfillment Officer)
    2. File Status Update Link – We provide our deal owners with a Real Time File Status secure update link to keep you informed during the deal lifecycle. Link is active throughout the mortgage cycle until closing date. (Sent to Broker; from Fulfillment Officer)
    3. Initial Communication –  Sends Secure Application Link to borrower – (Sent to Borrower; from Broker)
    4. First Document Request – Including Secured Document Upload Link and instructions – (Sent to Borrower; from Fulfillment Officer)
      a) We provide borrower with information as required from our Document Library to help obtain the correct documentation quickly. For Example, NOA Request includes instructions on how to obtain NOA T4 and other Revenue Canada Documents directly online. This provides the borrower great information to explain what is required and how to provide the information to make the document collection process efficient.
    5. Documents Received – provides Borrower with confirmation of documents were received by Fulfillment Officer. (Sent to Borrower; from Fulfillment Officer)
    6. Borrower Document Update – provides confirmation of documents Accepted, Rejected/Not Required, and Outstanding. Sent to Borrower with Secure Link included. (Sent to Borrower; from Fulfillment Officer)
    7. Purchase Submission – Advise file is submitted for approval. (Sent to Realtor; from Broker)
    8. Mortgage Approval – Confirms conditional approval, confirms important dates (conditional approval/completion dates) Does not include details of mortgage due to privacy. (Sent to Borrower; CC Realtor; from Broker)
    9. Documents Outstanding Reminder – any documents outstanding requested with Secured upload Link attached. (Sent to Borrower; from Fulfillment Officer)
    10. Final Conditions Satisfied – Confirms all conditions fulfilled, confirms lawyer, confirms lender – Includes the following Disclosure: Lenders reserve the right to request additional information and documentation from you after the date of approval up to and including funding date. (Sent to Borrower; CC Realtor; from Broker)
    11. Mortgage Instruction Preparation – Confirms instructions forthcoming to lawyer. Includes borrower contact information, Lender, purchase address, closing date. Does NOT include details on amount borrowed, interest rate or terms for privacy purposes. (Sent to Lawyer; CC to Realtor; from Broker)
    12. Purchase Funding – Confirms funding, ask for referral, thank you. (Sent to Borrower; from Broker)
      REFINANCE FULFILLMENT

      Fulfillment Officer will perform the following duties on behalf of the broker:

      1. Fulfillment Officer will send secured online application form link for borrower to complete.
      2. Fulfillment Officer will send and receive Privacy & Consent documents via Docu-sign or Adobe Sign.
      3. Fulfillment Officer will send secured document request to borrower and follow-up for receipt of documents required for submission to lender for approval.
      4. Initially, Fulfillment Officer will provide sorted, labelled, and packaged document lists directly to Broker for review. Packages include cover sheet and will be sorted as follows:
        a) Documents Accepted
        b) Document Rejected or Not Required
        c) Documents Outstanding
      5. When documents required are obtained in full, Fulfillment Officer will provide sorted, labelled, and packaged FINAL document directly to Broker via email for review and submission to Lender. Packages include cover sheet and will be sorted as follows unless otherwise instructed by Broker:
        a) Privacy and Identification.
        b) Income applicant #1.
        c) All information pertaining to property being refinanced.
        d) All information pertaining to existing property owned.
      6. Fulfillment Officer will push Syncro Mortgage application information for borrower into current Origination System. Agent to provide Origination System Login credentials to Syncro Mortgage as part of onboarding process. Agent will communicate to Fulfillment officer Password Changes.
      7. Agent will provide existing origination File # to Fulfillment Officer for any existing borrowers, and subsequently Fulfillment Officer will Refresh information FROM existing origination System TO Syncro Mortgage Platform and update as required.
      8. Fulfillment Officer will Submit TO and Refresh FROM Existing Origination platform between the hours of 10pm-7am. Agent will use their best efforts to avoid use of platform during this time.
      9. Broker will communicate with Fulfillment Officer and will supply copy of both conditional and final approval when received, to accurately update information on the Syncro Mortgage Platform.
      10. Fulfillment Officer will request and receive all signatures required from borrowers via Docu-Sign or Adobe Sign on commitment documents, PAC forms and other documents that may be required by the Lender.
      11. Fulfillment Officer will not verbally communicate to borrower any details on terms/conditions of approval. When signed documents provided to Fulfillment Officer, package will be prepared and forwarded to Agent via email.
      12. Fulfillment Officer will update details pertaining to approvals received with information saved for 7 years. (Lender, Amount, Rate, Term, Maturity Date) All documents (Commitment, PAC, Checklist) will be uploaded and saved to Syncro Mortgage platform.
      13. Fulfillment Officer will send follow-up email requesting documents outstanding to borrower with Secured Document Upload Link and instructions. Fulfillment Officer will follow-up directly with borrower as required to obtain all documents requested to finalize deal.
      14. Fulfillment Officer will Label, Sort, and prepare final document list and forward to Agent via email.
      15. Fulfillment Officer will prepare Audit document package and archive all data for 7 years.
      REFINANCE - DATA & DOCUMENT COLLECTION

      Fulfillment Officer will request and obtain the following documents on behalf of the Broker.

      Broker will advise if other information is required.

        a) We provide borrower with information as required from our Document Library to help obtain the correct documentation quickly. For Example, NOA Request includes instructions on how to obtain NOA T4 and other Revenue Canada Documents directly online. This provides the borrower great information to explain what is required and how to provide the information to make the document collection process efficient.
      5. Documents Received – provides Borrower with confirmation of documents were received by Fulfillment Officer. (Sent to Borrower; from Fulfillment Officer)
      6. Borrower Document Update – provides confirmation of documents Accepted, Rejected/Not Required, and Outstanding. Sent to Borrower with Secure Link included. (Sent to Borrower; from Fulfillment Officer)
      7. Purchase Submission – Advise file is submitted for approval. (Sent to Realtor; from Broker)
      8. Mortgage Approval – Confirms conditional approval, confirms important dates (conditional approval/completion dates) Does not include details of mortgage due to privacy. (Sent to Borrower; CC Realtor; from Broker)
      9. Documents Outstanding Reminder – any documents outstanding requested with Secured upload Link attached. (Sent to Borrower; from Fulfillment Officer)
      10. Final Conditions Satisfied – Confirms all conditions fulfilled, confirms lawyer, confirms lender – Includes the following Disclosure: Lenders reserve the right to request additional information and documentation from you after the date of approval up to and including funding date.       11. Mortgage Instruction Preparation – Confirms instructions forthcoming to lawyer. Includes borrower contact information, Lender, purchase address, closing date. Does NOT include details on amount borrowed, interest rate or terms for privacy purposes. (Sent to Lawyer; CC to Realtor; from Broker)
      12. Refinance Funding – Confirms funding, ask for referral, thank you. (Sent to Borrower; from Broker)
        POST-DEAL COMMUNICATION SERVICES

        Fulfillment Officer will Launch Communication system for a term of 5 years per completed file with the following messages sent to borrowers. Post-Deal Communications Services include the following:

        1. Review Request: Sent 1 times after funding. Need Customer Voice to do review.
        2. Mortgage Anniversary Date and Referral Request : Recommend review sent 4 times.
        3. Renewal Reminder: Sent 90, 60, and 30 days prior to renewal date.
        4. Birthday Greetings: Borrower and co-borrower.
        5. Christmas / Seasons Greeting: Borrower and co-borrower.
